Position Title: Resiliency Backlog Coordinator
Duration: until Oct 31st with possibility of extension
Working Location: Mississauga/Scarborough, ON (Hybrid- 2 days)
 
Role Highlights: Looking to engage a Resiliency Backlog Coordinator to support the day-to-day operations of our resiliency intake and backlog process. At a high level, the role focuses on coordinating and maintaining resiliency gap records, ensuring data quality and traceability in tooling (e.g., JIRA and Confluence), working with technical stakeholders to clarify and enrich submissions, and supporting governance forums and leadership reporting. This is a coordination and enablement role rather than hands-on remediation, well suited to someone with strong organizational skills and familiarity with IT service management concepts.
 
Role Summary
The Resiliency Backlog Coordinator supports the day?to?day operation of the EPRP intake and backlog process. This role is responsible for managing intake records, maintaining backlog quality in JIRA, coordinating with technical stakeholders to clarify information, and preparing inputs for governance and reporting.
This is an entry?level to early?career coordination role, ideal for someone who is highly organized, detail?oriented, and interested in learning how large?scale technology organizations manage risk, resiliency, and operational improvement.
 
Key Responsibilities
Intake Management & Enrichment
  • Operate the EPRP Resiliency Gap Intake process in JIRA and Confluence.
  • Review new submissions for completeness and clarity.
  • Ensure required supporting evidence is attached (e.g., Incident, Change, Problem records, logs, documents).
  • Enrich intake records with required metadata (e.g., gap type, domain, severity indicators).
  • Coordinate with reporters and SMEs to resolve missing or unclear information.
Triage & Coordination
  • Perform initial triage of new intake items entering the backlog.
  • Coordinate with technical SMEs or service owners to clarify impacts and context.
  • Track follow?ups and ensure discussions and decisions are documented in tooling.
  • Maintain accurate contact and stakeholder information within records.
Backlog Management
  • Maintain a clean, organized, and up?to?date EPRP JIRA backlog.
  • Ensure items move through intake statuses according to defined workflows.
  • Prepare intake items for Working Committee review by confirming readiness.
  • Support prioritization activities by ensuring data quality and consistency.
Remediation Tracking Support
  • Close intake records once governance decisions are made.
  • Create and link JIRA Stories or Epics for accepted remediation items.
  • Ensure Definition of Ready (DoR) and Definition of Done (DoD) fields are captured.
  • Track remediation status updates and maintain linkage between intake and remediation records.
Reporting & Data Preparation
  • Prepare basic data extracts and summaries for leadership reporting.
  • Support the maintenance of Power BI dashboards or Excel?based reports.
  • Identify and flag simple trends or recurring themes in the backlog (e.g., repeat domains, systemic issues).
Documentation & Process Support
  • Maintain Confluence or SharePoint documentation related to intake and workflow processes.
  • Support continuous improvement of intake, backlog, and reporting practices.
  • Follow defined standards for documentation, traceability, and record?keeping.
 
Required Skills & Qualifications (Must Have)
  • 2–5 years of experience in a technology coordination, service management, IT operations, or analyst?type role.
  • Working knowledge of JIRA (creating, updating, and organizing issues).
  • Familiarity with Incident, Change, and Problem Management concepts.
  • Ability to understand high?level technology concepts such as availability, recovery, and service stability.
  • Strong organizational skills with attention to detail and follow?through.
  • Clear written communication skills.
  • Experience preparing basic reports or summaries using Excel or Power BI.
  • Comfort working with tools such as JIRA, Confluence, ServiceNow, SharePoint, and Microsoft Office.
  • Foundational understanding of ITIL and Agile / Kanban concepts.
 
Nice to Have
  • Exposure to resiliency, availability, or operational risk topics.
  • Experience supporting governance or review forums.
  • Basic understanding of disaster recovery or resiliency patterns.
  • Ability to spot simple patterns or recurring issues across incidents or gaps.
  • Experience working with engineering, platform, or infrastructure teams.
 
Stretch Capability (Value?Add, Not Required)
Service Level Management (SLM) exposure is considered a stretch capability.
Candidates with prior knowledge of Service Level Management concepts (e.g., availability metrics, SLAs/SLIs, incident impact analysis, service performance reporting) may have opportunities to support adjacent coordination or reporting activities outside of core EPRP responsibilities, based on interest and capacity.
This experience is not required for the role and is not expected at entry level but may provide additional learning opportunities and cross?program exposure.
