Job Position: Project Coordinator
Length of Assignment (LOA): 6 Months Blocks (Extensions based on Performance, Budget, and Business Need)
Location: Lake County, IL (100% Onsite)
Brief Information:
• Team is hiring for a role that is approximately a 50/50 split between Executive Assistant responsibilities and Project Coordinator responsibilities.
• Approximately 50% of the role involves providing executive support to the Hiring Manager and Vice President, including calendar management, meeting scheduling, travel coordination, expense reports, and other administrative activities.
• The remaining 50% of the role focuses on project coordination, including supporting large cross-functional meetings, hackathons, and other team initiatives by coordinating logistics, scheduling activities, preparing agendas, ordering food, and sending communications.
• The team regularly organizes large meetings and events, including multi-day meetings with more than 200 attendees, requiring strong planning, organization, and coordination skills.
• The ideal candidate should be organized, proactive, service-oriented, and enjoy helping others succeed.
• The role requires regular interaction with Vice President-level leadership. Candidates should be comfortable communicating with executive leadership and following up professionally.
• Although not required, the Vice President encourages team members to gradually learn how to review and prioritize executive emails as part of their professional development.
• The team supports AI, Data Convergence, Large Genomics, and Human Data initiatives and is looking for candidates who are willing to use and learn AI tools to improve efficiency.
Qualifications & Requirements / Skillset:
• Strong organizational skills and a proactive, service-oriented mindset are essential for success in the role.
• Previous experience supporting executive leadership, including calendar management, meeting scheduling, travel coordination, expense reporting, and VP-level communication, is preferred.
• Experience coordinating projects, meetings, events, and cross-functional activities is preferred.
• Candidates should be comfortable balancing Executive Assistant responsibilities with Project Coordinator responsibilities, as each represents approximately 50% of the role.
• Strong proficiency with Microsoft Office tools is considered a non-negotiable requirement. Candidates should be proficient with Outlook, OneNote, and Excel.
• Experience with Smartsheet is preferred but not required. Candidates who are willing to learn the platform will also be considered.
• Experience using AI tools is preferred. Familiarity with chatbot tools or Microsoft Copilot is beneficial, and candidates should be willing to leverage AI tools to improve efficiency.
• Strong communication, customer service, follow-up, and interpersonal skills are essential. Candidates should be comfortable asking questions, seeking clarification, taking initiative, and confidently interacting with Vice President-level leadership.
• Candidates should be willing to learn new technologies and continuously improve their efficiency.
• Pharmaceutical industry experience is preferred but is not required.
• A bachelor's degree is not required. Candidates with strong, relevant experience and a willingness to learn will be considered.
