Position Summary:
Provides administrative support to the Order Processing functions and the accounting department. This support includes but not limited to: weekly entry declarations, payment process, document preparation among others.

Provides administrative support to the Order Processing functions and the accounting department. This support includes but not limited to: weekly entry declarations, payment process, document preparation among others.
Responsibilities:
- Work with the Green Light procedure which includes Credit Letters process and order status change
- Keep a list of commitment letters for documentation and collection purpose.
- Prepare documentation for the dispatch and receiving of vehicles.
- Use the SURI system to process shipment declarations.
- Prepare documentation for dealerships and financial institutions.
- Perform data entry.
- Manage the vehicle reservation system.
- In charge of prepare documentation and print invoices and certificate of origin.
- Declare weekly entry and process payments to Hacienda and U.S. Custom.
- Generate Tally in and Tally out.
- Order forms and documents when are needed. (Invoices and Certificates of Origin)
- Units reservation and the ship confirm process.
- In charge to perform the messenger service.
- Help with incentives, SAP and audit process.
- Apply parts process on SAP.
- High School Diploma or equivalent required; Associate's degree preferred.
- Minimum of 3 to 6 months of experience in an administrative, order processing, customer service, or wholesale business environment.
- Previous experience with data entry and document preparation.
- Basic knowledge of Microsoft Office Suite (Word, Excel, Outlook).
- Strong attention to detail and organizational skills.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Strong verbal and written communication skills.
- Ability to work independently and as part of a team.
- Experience with SAP is preferred.
- Experience using SURI or similar government reporting systems is a plus.
- Bilingual (English and Spanish) preferred.
