Job Title - Front Desk Associate
Duration:
6 Months
Location: 43082, Westerville, OH (Global HQ)
Reporting Structure: Reports directly to the Executive Assistant to the CEO, with strong day-to-day alignment with the Facilities team.


Position Summary

The Front Desk Associate serves as the first point of contact at headquarters, ensuring a professional, welcoming, and well-organized workplace environment. This role combines front desk reception, office services, and facilities coordination, while also providing administrative support to Executive Assistants and leadership.


Key Responsibilities

Reception & Front-of-House Operations

  • Act as the primary point of contact for employees, visitors, and vendors
  • Manage visitor registration, badging, and security protocols
  • Answer, screen, and direct incoming calls, emails, and inquiries
  • Maintain a clean, organized, and welcoming lobby and reception area
  • Receive and manage incoming mail, packages, and deliveries

Facilities Coordination

  • Create and track work orders for maintenance and repairs
  • Coordinate vendor and contractor access to the facility
  • Assist with seating assignments and maintain related documentation
  • Monitor, order, and restock office supplies
  • Support office moves, setups, and reconfigurations
  • Submit purchase requisitions (PRs) for approval to facilitate work orders and repairs

Executive & Administrative Support

  • Provide support to C-Suite Executive Assistants
  • Coordinate meetings, including room setup and catering arrangements
  • Assist with leadership visits, meetings, and events
  • Maintain a high level of confidentiality and professionalism

Vendor & Service Coordination

  • Coordinate with external vendors and service providers
  • Support contractor onboarding and scheduling
  • Track service requests through to completion

Preferred Qualifications

  • Experience supporting executives in a corporate environment
  • Experience in facilities coordination or vendor management
  • Familiarity with workplace tools such as Outlook, Excel, and Microsoft Teams

Qualifications

  • High school diploma or equivalent required
  • 2+ years of relevant experience
  • Strong customer service, organizational, and multitasking skills
