Role Overview

Client is  seeking an experienced Executive Assistant to support a VP and a Director. The person in this role must be a masterful problem-solver and an organizational force capable of managing complex and heavy calendaring.

This role requires the ability to anticipate issues before they arise, proactively recommend creative solutions, and remain flexible and adaptable to changing business needs. The ideal candidate will possess sound judgment, exceptional communication skills, and resourcefulness in building relationships across a large corporate ecosystem.

Key Responsibilities

Calendar & Meeting Management

  • Coordinate complex internal and external meetings.

  • Manage intricate calendar set-up, adjustments, and movement dynamically.

  • Organize strategic events, large-scale team events, and all-hands meetings.

Logistics & Operations

  • Coordinate both domestic and international travel arrangements.

  • Prepare detailed expense reports and purchase requisitions.

  • Collaborate closely with others in the executive’s office to develop, manage, and maintain operational processes and information flow.

Relationship Building & Communication

  • Build strong cross-functional relationships between diverse departments.

  • Partner closely with team leaders and lead administrative professionals.

  • Communicate key organizational and corporate updates to administrative and cross-functional partners.
     

Minimum Qualifications

  • 6+ years of relevant experience providing administrative support to one or more executives.

  • 6+ years of relevant experience coordinating complex travel logistics on behalf of executives.

  • 6+ years of intensive calendar management and expense report management experience.

  • Proven experience prioritizing multiple competing projects simultaneously.

  • Proficiency with Microsoft Office and Google Suite.
  • ?BA/BS degree


Preferred Qualifications

  • Prior or current experience supporting VPs at a large-scale technology company.

  • Experience supporting an executive’s office alongside a team of administrative partners and/or operations personnel.

  • A consistent track record of ensuring strict confidentiality and discretion in all partnerships.

  • Strong attention to detail, a proactive mindset, and a drive to see tasks through to completion.

  • Demonstrated experience working on your own initiative, seeking feedback and input where appropriate while managing projects, multi-tasking, and pivoting quickly.

  • Proven ability to build, maintain, and influence trust-based relationships with leadership, cross-functional partners, and business stakeholders.

  • Experience managing logistics across multiple teams and driving strategic projects.
