Position Summary
The Department Specialist will coordinate home patient delivery routes and resolve delivery-related issues across numerous facilities (3 locations), multiple CDL Delivery Drivers (up to 50+ employees), and up to 7k home patient customers across Texas with large geographic areas and unique delivery challenges.
This position schedules and coordinates the transportation of products to meet customer requirements. The individual will analyze distribution processes, costs, resource utilization, and operational challenges to develop and implement solutions that improve daily operations.
Key Responsibilities
• Provides ongoing routing solutions to improve database maintenance and regularly generates reports using various software applications to analyze department performance.
• Arranges alternate freight transportation when necessary.
• Assists with planning, coordinating, and scheduling coverage for vacations, holidays, and other unplanned events using a rolling 12-week calendar.
• Performs a variety of transportation-related activities, including auditing freight bills, processing property claims, and selecting and recommending carriers.
• Prepares and distributes daily paperwork for drivers and field operations contacts.
• Coordinates workflow with third-party logistics providers (3PLs), such as Cardinal, to ensure picking, sequencing, staging, and product verification activities are completed accurately and on time for all private fleet and commercial deliveries.
• Works with management, vendors, and Service Specialists to ensure timely submission and compliance of Driver Qualification Files (JJ Keller), driver logs, fuel trip reports, fuel tax reporting, timecards, expense reports, and all applicable state and federal DOT regulations.
• Makes required phone calls and sends emails to internal partners (Sales, Customer Service, Credit & Collections, Routing, Service Specialists, etc.) and external customers (home patients, clinic nurses, and clinics) regarding special shipping instructions, short lead times, returns, and redeliveries to ensure service expectations are met or exceeded.
• Updates order information and progression notes to document all delivery changes and discrepancies.
• May serve as the first point of contact for drivers (private fleet or commercial) experiencing delivery issues.
Qualification & Experience
• High school diploma or equivalent required.
• Previous distribution and transportation experience preferred.
• Two or more years of relevant professional experience required.
• Strong problem-solving and analytical skills.
• Proficiency with Microsoft Office applications (including Word and Excel) and other software platforms.
• Ability to work both independently and collaboratively in a team environment while delivering results.
