About Client Ayco Operations
Operations is a dynamic, multi-faceted division at the core of Client Wealth Management, instrumental in meeting the complex needs of our clients through highly customized service delivery and rigorous operational excellence. Operations partners with every part of the firm to enable business flow, support our financial counseling services, and deliver essential risk management.

Our teams act as vital controls to preserve and enhance the firm’s assets and reputation, ensuring that our services are processed with the highest level of integrity and efficiency. We execute within a front-to-back operating model, delivering comprehensive support across the entire client, product, and investment lifecycle. Beyond core processing, we conduct risk oversight and provide change management, business intelligence, and market solutions that drive the division’s strategic evolution.
Annuity Operations
Annuity Operations is a specialized team within the broader Operations division, dedicated to the "white glove" facilitation of annuity products for high-net-worth individuals. We serve as the central hub for implementation, bridging the gap between internal advisors, specialized strategy teams, and external insurance carriers. Our primary mission is to ensure that every task—from creation to final funding—is meticulously prepared and administratively sound before moving through the firm’s final review and submission channels.

Your Role
In this position, you are far more than a data processor; you are an annuity and technical Specialist responsible for the high-volume preparation and coordination of the annuity lifecycle. While this role does not involve direct client contact, you are the engine that enables our advisors to provide a premier service experience. Your meticulous oversight ensures that every document is prepared with absolute administrative integrity—flawless, intuitive, and structured for immediate execution.

This is a high-volume, detail-intensive role that requires a unique blend of precision processing and proactive problem-solving. You will act as a primary operational liaison between internal Ayco teams and third-party insurance carriers, navigating a vast landscape of carrier-specific nuances and regulatory requirements. Your objective is to maintain the highest standards of administrative accuracy, ensuring a frictionless process for the client and internal stakeholders.

How You Will Fulfill Your Potential
  • Mastery of Complexity: You will develop a deep, technical understanding of the annuity landscape, becoming an expert in the diverse procedural requirements of Client Ayco and various insurance carriers.
  • Operational Excellence: You will thrive in a fast-paced, high-volume environment where your attention to detail ensures that complex financial transactions are prepared flawlessly.
  • Process Coordination: You will manage the movement of sensitive data across multiple platforms, ensuring that all prerequisites for successful implementation are met.
  • Collaborative Impact: You will act as a key enablement partner, working across internal teams and external vendors to streamline workflows and deliver a frictionless experience for our high-net-worth clients.
  • Principal Responsibilities
  • Application Preparation: Execute the meticulous preparation of new annuity applications and related service documents, ensuring adherence to Client Ayco and carrier-specific requirements.
  • Workflow Coordination: Facilitate the multi-stage implementation process, interfacing between internal advisors, insurance strategist teams, and external carriers to move files toward completion.
  • Data Integrity & Entry: Manage the accurate input and movement of financial data across multiple internal systems and external carrier portals.
  • System Navigation: Work seamlessly across multiple internal systems and external carrier portals to facilitate transactions and resolve discrepancies.
  • Risk & Compliance: Apply sound business judgment to identify and escalate unusual or suspicious activities, ensuring strict adherence to firm-wide information security and quality policies.
  • Implementation Support: Facilitate the final funding process and provide operational support for special projects as requested by the business.

Skills & Experience We’re Looking For
Basic Qualifications
  • Education: Bachelor’s degree required.
  • Technical Proficiency: Working knowledge of the Microsoft Office suite (Word, Outlook, PowerPoint).
  • Excel Skills: Proficiency in Microsoft Excel, including the ability to manage large datasets and utilize advanced functions.
  • Operational Mindset: Proven ability to maintain high levels of focus and accuracy in a high-volume, repetitive processing environment.
  • Communication: Superior written and verbal communication skills, with the ability to maintain a professional, service-oriented tone with internal partners and third-party vendors.
  • Meticulous Attention to Detail: A systematic approach to quality control and a "zero-error" mindset when preparing complex documentation.
  • Preferred Skills & Attributes
  • Learning Agility: The ability to quickly master and retain nuanced procedural rules across multiple software platforms and carrier portals.
  • Sound Business Judgment: Proven analytical and problem-solving skills, specifically the ability to identify anomalies and escalate high-risk issues appropriately.
  • Time Management: Exceptional organizational skills with the ability to prioritize a shifting queue of tasks under tight deadlines.
  • Collaborative Spirit: A proactive, team-oriented approach with the flexibility to adapt to changing workflows and special projects.

Why This Role
This position offers a front-row seat to the intricate mechanics of private wealth management at Client. It is an ideal fit for individuals who find satisfaction in the "puzzle" of complex documentation and take pride in being a critical link in a high-stakes financial process. As a technical specialist, you will serve as a vital gatekeeper for our clients' financial implementations, ensuring that every transaction is executed with the operational excellence and administrative integrity that defines the Ayco experience.
